This privacy notice will inform you as to how EEF look after your personal data when you take part in filming and audio recordings to develop EEF content, which will be used internally by EEF or published online, including on our website. This page should be read in conjunction with our privacy notice main page , which covers information relevant to anyone whose data is used by the EEF.
The processing involves filming and audio recording in educational settings, including early years, nurseries, schools and 16 – 19 settings.
Types of recordings may include:
- Examples of staff working directly with children to support their learning and development.
- Staff talking to the camera or recording audio clips describing different approaches.
- Children describing approaches or experiences.
- Practitioners or other experts discussing practice, guidance, or policy developments with EEF staff as a contribution to an EEF podcast episode.
The UK GDPR lawful basis we rely on to process your personal data is consent or legitimate interests (UK GDPR Articles 6[1][a] and 6[1][f] respectively).
The lawful basis for processing film clips is predominantly consent, whereas for audio recordings of adults and older pupils (16+), it will predominantly rely on legitimate interests (for audio recordings of children under 16, we rely on consent).
Our legitimate interests are that using these recordings helps bring the evidence to life, demonstrating what it looks like in practice, with real educators in real settings. It makes it more accessible and relatable for practitioners to hear it from others in the sector, in a format they recognise and appreciate.
Films and audio recordings that include children and/or staff.
For films recorded in classrooms, they are likely to include both children and staff who are present on filming day. As well as the films and audio recordings, we also collect personal information on our consent forms.
The edited film and audio recordings hosted online, for example on Vimeo or You Tube, will be retained for as long as the online resource they are produced for remains in use.
Final audio recordings hosted online, for example on the EEF website, will be retained for as long as the online resource they are produced for remains in use.
Unedited film or audio recordings collected by the EEF or its contracted third parties will be stored securely and retained for a period of no longer than three years.
Video and audio recordings produced by the EEF and hosted on our website will be shared with providers and partners that will help us to meet our legitimate interests for the recordings. These include social media providers, our evidence mobilisation networks for wider use, and other partners such as the DfE.
Clips from the Classroom videos, produced by the RSN, will be shared by the EEF on our website and social media channels, and may also be shared with other partners such as the DfE.
In some cases, EEF will work with professional recording companies to produce video and audio recordings, e.g. partnership with Tim Butcher films, a professional film company, to produce videos for the Early Years Evidence Store.
The systems used to capture consent (e.g. Google Forms ) may vary depending on the nature of the recording and project.
